In the end, hosting such physical gatherings may not prove to be cost effective.

Web conferencing is definitely an excellent alternative method, one that requires much less in terms of expense and inconvenience. The participants will be able to view a presentation on a shared screen, hold a have real-time discussion with each other using instant messaging or VoIP, and even see each other through video web conferencing.
